The Ban Ki-moon Centre for Global Citizens (BKMC) in Vienna is inviting applications for the position of Executive Assistant to support Co-Chair Dr. Heinz Fischer.

This is a two-year full-time role (40 hours/week) with a one-month probationary period and the potential for extension. The anticipated start date is 4 September 2025 or earlier.

Eligibility Requirements:
Applicants must already have the legal right to work in Austria for the entire duration of the contract. Non-EU nationals are required to submit a valid work permit with their application.

Position Summary:

BKMC is seeking a highly reliable, detail-oriented, and proactive professional to serve as Executive Assistant to Dr. Heinz Fischer. The ideal candidate will demonstrate strong interpersonal and communication skills, excellent time management, and the ability to remain composed in a dynamic, fast-paced international environment.

The Executive Assistant will play a central role in supporting the Co-Chair’s engagements, coordinating schedules, preparing briefings and official documents, managing travel logistics, and representing the Centre with professionalism in high-level interactions. The role also involves supporting internal communications and the implementation of small projects tied to the Co-Chair’s work.


About the BKMC:

The Ban Ki-moon Centre for Global Citizens is a Quasi-International Organization (QIO) headquartered in Vienna. The Centre’s mission is to empower present and future leaders to accelerate the UN Sustainable Development Goals (SDGs) and the Paris Climate Agreement. It promotes values such as global citizenship, gender equality, climate action, and sustainability, and is co-chaired by former UN Secretary-General Ban Ki-moon and former Austrian President Dr. Heinz Fischer.


Key Responsibilities:

  • Manage the Co-Chair’s daily agenda, correspondence, and meeting logistics
  • Draft, format, and proofread official communications, speeches, and briefings
  • Coordinate domestic and international travel arrangements
  • Accompany the Co-Chair to meetings and events when required
  • Act as liaison with government ministries, academic institutions, diplomats, civil society, and media
  • Keep accurate records of documents, correspondence, and expenses
  • Assist in project coordination, including events and reporting tasks
  • Support the Co-Chair in other roles within affiliated organizations (e.g., VHS, ÖGCF, VPO, IWM)
  • Collaborate with the BKMC communications team on external engagements
  • Organize logistics for delegations, visitors, or media activities hosted at BKMC
  • Provide general administrative support to the CEO, COO, and other team members

Compensation and Conditions:
The position offers a monthly net salary of €2,200, paid 13 times per year, and exempt from income tax under the Centre’s international legal framework. The role reports directly to the Co-Chair and BKMC senior management.
Eligibility Criteria
Candidate Profile and Qualifications:

A bachelor’s degree in a relevant field such as international relations, political science, office/business administration, communication, or human resources

Minimum one year of relevant professional experience in a similar role (NGOs, international institutions, startups, or the public sector preferred)

Native-level proficiency in German and excellent command of English, both spoken and written

Strong writing and editing skills, especially for official or diplomatic content

Familiarity with drafting speeches, reports, and communications materials

Proficiency in Microsoft Office 365, Zoom, Canva, and basic IT troubleshooting

Discreet, diplomatic, protocol-aware, and committed to the Centre’s mission

Passionate about human rights, sustainable development, gender equality, and global leadership
